Pavilion and Ball Field Reservations

The Pavilion is located next to the Tennis Courts, Ball field, Windmill pond (and Tot Lot) at the Windmill Center.

  Pavilion and Ball Field use is FREE to residents (and can only be reserved by Ashburn Farm residents). The tot lot, tennis courts, or pond area cannot be reserved at any time. The reservation form must be submitted and approved before your reservation is valid.

Reservations for special events up to 4 hour time periods.

Note to teams: No more than 4 reservations can be made over a month's period (and no additional reservations will be accepted until all your reservations are completed).

All teams (regardless of practice or game) must submit your insurance form and list Ashburn Farm as a

co-insured before your first reservation can take place.

 

No equipment is provided for the ball field.  Teams, leagues and individuals using the ball field must provide your own equipment for games or practices.  Equipment should not be left or stored at the field at any time.

There are three (3) picnic tables at the Pavilion and 2 Trash Receptacles.  Those reserving the Pavilion for an event should insure that when the event is over, the trash receptacles are emptied and a trash bag should be placed in each receptacle.  Please bring the trash bags with you to the event.

 

There is no electricity at the Pavilion.


No Bicycles, Skateboards, or Roller Blades allowed!


  Summary of  Rules and Regulations

  • The ball field and/or Pavilion are only available for use during daylight hours.

  • You must be an Ashburn Farm resident and show proof of residency to reserve and use the pavilion and/or the ball field.

  • The Pavilion or ball field can be reserved up to 4 hours in one reservation time period. This four hour time period includes setup and clean up time.  Reservations are made on a first-come, first-served basis and no reservations are taken over the phone.

  • No vehicles are allowed on the common area.

  • No alcoholic beverages are permitted at any time.  

  • No cooking or open flames permitted at any time.   

  • The number of attendees is limited to 75.

  • Adequate supervision must be provided for the guests at all   times, including but not limited to, one adult per 4 children under the age of 10 and one adult per 10 children under the age of 18.

  • Reservations do not include the tennis facility or tot lots.

  • The homeowner is responsible for the clean up and all trash removal from the pavilion and ball field areas; in the event that these areas are not left in a satisfactory condition, the homeowner will be responsible for the cost of clean up, including a $25.00 fee assessed to your account. A dumpster is located in the parking lot by the swimming pool for disposal of all trash. Note: this area is cleaned up by our maintenance staff twice per week, but since residents are free to use it at any time, trash may in the containers prior to your reservation. 

  • For Profit” business events are not permitted at any time.


Ball Field Reservations for Teams/Leagues

 

It is required that teams and Leagues requesting use of the Windmill Ball Field obtain and maintain a liability insurance policy in the amount of One Million  Dollars ($1,000,000 per incident and $2,000,000.00 maximum) and name Ashburn Farm Association as additionally  insured.  The Applicant is to provide a copy of the policy certificate to the Ashburn Farm Association office and  annual renewal notification. Additionally, the Applicant agrees to indemnify, defend and hold Ashburn Farm Association, its  officers, employees and agents harmless from any liability, suit, action, claim, loss or expense of any kind related in any  way to injuries or damage that may occur due to the applicants use of the field or other Ashburn Farm Common Areas.
