The Role of Neighborhood Boards in the Governing of Ashburn Farm

 

The Neighborhood Board members act as liaisons between their neighborhood and the Association.  The Board members have the responsibility of "Block Captains" to welcome new residents, disperse information, report problem areas and keep apprised of the conditions in their neighborhood.  Each Neighborhood Board should consist of 3 (three) to 7 (seven) members (elected residents) who will serve a term of one year or more.

 

The neighborhood boards are the first level of self government and are key to keeping residents informed about matters of interest and concern and, keeping the Board of Trustees current on the needs and concerns of the residents.

 

Goals of Neighborhood Boards


To select its own chairperson or co-chairpersons to be the contact point for the Association should an emergency or any other situation arise in which the Neighborhood needs to be informed.


To maintain a telephone tree (or email) of all residents in the Neighborhood.


To be a liaison between the Neighborhood and the Board of Trustees.


To provide a representative to attend all Board of Trustee meetings.


To advise the Board of Trustees and various committees as to the consensus of Neighborhood residents on neighborhood matters.


To perform such duties as may be assigned by the Board of Trustees.


To advise the Open Spaces Committee on maintenance and service issues concerning common areas within the Neighborhood.


To meet periodically as needed to discuss Neighborhood issues.


To facilitate Neighborhood meetings, social functions, etc.


To be the contact persons for the residents in the Neighborhood and to facilitate the spread of information to and from the Association and Board of Trustees.


To promote continuity within the Neighborhood.

Promoting Continuity Within the Neighborhoods

Produce monthly or quarterly newsletters (paper, email, etc.) concerning matters relating to the neighborhood, and to encourage  participation in the Association on boards and committees.

Produce an annual information sheet to be distributed through the neighborhood listing the names of all their representatives.

Promote neighborhood interaction, i.e., block parties, progressive dinners, social events, etc.

Poll the neighborhood to get ideas on the needs of the neighborhood.

Support and encourage participation in Neighborhood Watch.

Welcome new neighbors and educate them, especially if they are renters, on the Ashburn Farm Guidelines, the existence of the Neighborhood Board, Board of Trustees, Committee and their meeting schedules.

Canvass the Neighborhood for volunteers to serve on the Neighborhood Board in those neighborhoods that are under-represented, or to serve on other committees.


 

The Neighborhood Boards are a part of the governance of the Ashburn Farm Association. Volunteers for Neighborhood Boards are needed in all areas of Ashburn Farm - Townhomes, Condos, and Single Family Home Neighborhoods.
